Mailbox Policy

Clearcreek Township works with residents to repair damaged mailboxes that were otherwise properly placed due to road maintenance.

Residents should check mailboxes to ensure they are ready for winter and comply with postal regulations. In addition, residents should ensure the mailbox can withstand heavy snow thrown by passing plow trucks. Typical repairs include replacing loose hinges or resetting a post.

Procedure 

If the properly placed mailbox is down, you may call the Clearcreek Township Maintenance Department at (937) 748-3350.

  • Improperly installed mailboxes will be the responsibility of the owner to repair.
  • The Township will not replace damaged mailboxes due to snow or slush pushed from a plow truck, but they will be refastened if possible.
  • Mailboxes down due to weak or rotten materials will be the owner's responsibility.
  • Mailboxes damaged due to ClearCreek Township's equipment making physical contact with the mailbox will be replaced at the expense of ClearCreek Township, but only if they were properly located and installed.

Mailbox repairs will not occur until the next day or until current snow operations are finished. However, if the owner chooses to replace the mailbox before snow removal is completed, the Township will provide reimbursement for the damaged mailbox.

Postmaster mailbox guidelines

Posts need to be set a minimum of 2-3 feet (preferably 3 feet) from the edge of the pavement to the roadside face of the mailbox. Where curbs are present, the face of the mailbox shall be one-foot behind the face of the curb. Only two mailboxes are permitted on one post. If more than two mailboxes are required, set the post three feet apart for each set of double mailboxes. The posts shall have a depth of 18-24 inches, and in no instance shall the post be encased in concrete. Mailbox height shall be 38-44 inches from the edge of the pavement to the bottom of the mailbox.
